COHORT ONE
an invitation
Your most experienced people know things no document will ever hold.
RoleUp captures the judgment of your most experienced people, a few minutes at a time, so their teams can draw on it without drawing on them. We're inviting ten healthcare organizations to try it first, at no cost and with no obligation.
No cost
Cohort members are design partners, not customers.
Four-week initial capture
Ending in a joint review. Continue by mutual agreement.
Minutes, not months
Short sessions scheduled around your experts' real work.
No patient data in scope
A design choice that keeps security review tractable.

SEATS REMAIN
Be ready for opening day
You're opening a new facility, or you just did. The build put hundreds of decisions in a few people's heads, and those people will move on to other projects. Capture what they know before they do.
De-risk consolidation
You're merging hospitals or combining departments. The same job is done differently at each site, and nobody has written down how or why. Understand the differences before you standardize.
Survive a departure
Someone essential is retiring or leaving, or you're worried they might. Capture how they think about the job so the role keeps working after they're gone.
Bring the next person up to speed faster
It takes years for a new hire to develop the judgment your veterans have. Give them a head start by letting them learn directly from how your most experienced people think.
WHY TAKE A SEAT
Organizations join for one of four reasons.
Whatever the reason, the result is the same: a role that keeps working without depending on one person.
WHAT YOU WALK AWAY WITH
Ten deliverable choices across three categories.
A. Map the work ~ B. Capture the judgment ~ C. Make it teachable
Every health system runs on a handful of experts everything routes through. RoleUp’s Clara platform app interviews them the way the best mentor they ever had asked questions: anchored in real moments, minutes at a time, on their schedule. These are the things that come out.
A. Map the work
-
The work as it actually happens, including everything the org chart and the process docs don't show.
-

How the work actually happens
A real map of the role, top to bottom: sequence, handoffs, dependencies and the steps that exist for reasons nobody wrote down.
-

What breaks if they leave
The workaround inventory: every unofficial fix this person maintains and what fails first when they're gone.
-

What they do when the plan breaks
The exceptions, the judgment calls under pressure and the recovery moves that never made the manual.
B. Capture the judgment
-
The reasoning behind the decisions: what experienced people notice, weigh and rule out before anyone else sees a problem.
-

What they see coming
The instincts and early warning signs experienced staff rely on, long before the numbers move.
-

One high-stakes decision, taken apart
A detailed case study: what was known, what was weighed, what was rejected and why.
-

One event, precisely reconstructed
A precise account of one specific incident in your expert's own words.
-

How they sort the hard cases
The triage framework your expert actually uses, made explicit and teachable for the first time.
C. Make it teachable
-
What your experts know, in a form the next person can actually learn from.
-

A teaching tool your next hire can follow
A step-by-step onboarding guide built from how your expert actually thinks through the work.
-

What good looks like here
Real examples of strong and weak work in your own context, so standards become recognizable.
-

The story only they can tell
A recorded career history and institutional memory in their own words.
Why the order matters: the early conversations map the work and build familiarity, and that groundwork is what makes the harder questions later in the engagement productive. We never open with the hardest questions.
HOW IT RUNS
Four weeks
WEEK ZERO
We read your documents first. Clara ingests the relevant paperwork so she never wastes an expert's session asking what's already written down.
WEEKS ONE TO FOUR
Short sessions, real moments. Clara interviews each expert minutes at a time, scheduled around real work. A knowledge-dense role totals roughly four or more hours across the engagement.
THROUGHOUT
Your experts approve everything. Nothing is visible to anyone until the practitioner reviews it, releases it and decides who sees it.
WEEK FOUR
A joint review. We walk through what was captured, starting with the deliverables you prioritized, and decide together whether to continue. Either way, you keep everything.
Your staff stay in control
Participation is voluntary. Each person sees everything captured from their sessions and approves what gets shared before anyone else can see it. We built it this way because capture only works when experts want to take part, and they take part when they're treated as the authority on their own work.
Your privacy and security teams can get the full detail from us whenever they want it.
REQUEST A SEAT
Tell us about your situation.
We're choosing up to ten organizations for the first cohort. Fill this in and we'll come back to you within two business days.
If it looks like a fit, we'll set up a call and design the engagement together. If it doesn't, we'll tell you that too.
Common Questions
-
Because the first ten organizations are helping us build this, and what we need from them is real deployments and direct feedback rather than revenue. Taking a seat creates no obligation, no automatic conversion to a paid engagement and no procurement commitment. When pricing exists, cohort members will get founding terms.
-
The practitioner owns their capture. Each expert reviews everything before anyone else sees it, releases what they choose and classifies who can see each item. The organization gets a queryable knowledge base built from what its experts chose to share, with provenance on every item. Knowledge captured in your engagement never leaves your engagement.
-
For Canadian organizations, all data stays in Canada, Clara runs on Canadian data centres, and no patient data is in scope for a first engagement, which keeps the security review tractable.
For US organizations, all data stays in the USA, Clara runs on USA data centres, and no patient data is in scope for a first engagement, which keeps the security review tractable.
-
Sessions run minutes at a time, scheduled around real work. A knowledge-dense operational role totals roughly four or more hours across the initial four weeks. We quantify the ask before anyone commits, and the expert can pause or stop at any time.
-
A joint review opened in the priority order you chose, then continuation by mutual agreement or a clean end. Either way you keep what was captured. There is no contract cliff and nothing to cancel.
-
No, and the architecture enforces it rather than promising it. Nothing is visible until the practitioner releases it, capture contains no evaluative content about individuals and participation is voluntary.
